Automated workflow and transmittal distribution
OpenText Documentum for Asset Operations Release 16 EP6 features distribution matrices that allow workflows and transmittals to be automatically routed to recipients based on business rules you define. For example, if you want all piping documents to be automatically routed to your piping group for review and approval, Asset Operations will forward those documents based on business rules created in a distribution matrix. Distribution rules are automatically applied whenever any such document is included in a workflow.
Distribution matrices can also automatically route transmittals to outside parties.
Document bulk loading
As all projects deal with significant amounts of data, effectively managing large batches of documents is an essential feature of any engineering content management system. Documentum for Asset Operations now features a robust bulk loading tool that allows document controllers to easily manage and upload large batches of engineering documents. The tool allows you to define the matching and validation rules that govern the loading process, as well as schedule imports with the automated job function. Metadata is easily managed and categorized in the spreadsheet utilized by the utility.

Expanding cloud-based archiving options
Recently, OpenText announced a fully integrated approach to application de-commissioning and large-scale information archiving. For those customers still transitioning to the cloud, hybrid solutions bring down storage costs while maintaining all of the rich data preparation, search, retrieval and security features of InfoArchive. With a hybrid solution, on-premises systems can be expanded to store unstructured data in less expensive, public-cloud, bulk-data storage services.
OpenText InfoArchive EP6 now supports Microsoft® Azure® Blob Storage, introducing a new option to reduce storage costs in a hybrid environment. This new option is in addition to the Amazon Web Services® S3 storage option already available.
In hybrid environments, customers can take advantage of a flexible storage model, creating a hierarchical storage model. It allows users to offload not only documents and files but also inactive structured data to less expensive cloud storage while maintaining access to the content when needed, such as legal holds.
Improving operational efficiency
With this new release, we’ve also improved how InfoArchive is implemented and managed over the long term:
Installation and upgrades have been streamlined
Ingestion management and performance have been improved
Additional options for auditing and reporting have been added
The InfoArchive Shell utility has been improved to allow browser-based downloads and installation, as well as secure connections to the restricted environment
A storage footprint breakdown report is now available to help manage storage costs more effectively
Migration
Primary support for InfoArchive version 3.2 ended recently. Customers looking at upgrading will appreciate the improved InfoArchive Migration Assist toolkit that helps migrate from the old 3.2 stacks to InfoArchive EP6.
Compliance
Security is critical to meeting compliance protocols, and InfoArchive EP6 adds enterprise key management through Gemalto SafeNet KeySecure to improve data encryption infrastructure management. Auditing, retention, hold and disposition coverage have all been improved for this release, as well.

The majority of processes that take place inside SAP rely on content to some extent. With OpenText™ Extended ECM Documentum for SAP® Solutions, we make it easier to work with that content by allowing customers to view content stored in OpenText™ Documentum™ inside the SAP user interface. Connected Workspaces
Leveraging the concept of the connected workspace that was defined in the Extended ECM for SAP solutions product, a connected workspace is a virtual model of a real-world object – such as a supplier, customer, asset, product and many others. A Connected Workspace is more than just enabling files to be viewed in SAP, it includes unstructured content and structured data, security and roles, collaboration and tasks.
Seamless Integration
Extended ECM Documentum for SAP Solutions is seamlessly integrated to SAP via Fiori UI’s legacy NetWeaver. Using the same technologies as the Extended ECM For SAP Solutions application to ensure users can continue to work in their native interface.

Bi-Directional Integration
The integration is not one-way, it is bi-directional meaning that SAP Users can retrieve, edit and manage content stored in Documentum from the SAP User Interface. Content updates from SAP are stored in Documentum.
The integration does not involve the migration of content between 2 applications – all content always resides in Documentum, and is exposed directory into SAP via smart views. The same is true of SAP data – it never leaves SAP. Security is implemented on each workspace object to ensure that users can only see the content they have access to -regardless of accessing via SAP or Documentum.
Data stored and managed in SAP can also be exposed inside the Documentum Smart Views, allowing document-centric workers to benefit from seeing associated data from SAP (for example supplier information).

What’s New with Release 19.2
E-signatures:
With the advent of OpenText Contract Center Release 19.2, the signature ceremony is brought directly into the application. For users, that means they can initiate e-signatures from within a contract record. One or more documents can be sent to all responsible internal and external parties for e-signature and, using the seamless integration with DocuSign, the signed documents can be directly returned to the contract records.
Integration with Salesforce:
Contract Center is now integrated directly with Salesforce. Customer, partner and supplier information maintained and managed in Salesforce is available natively in Contract Center as dropdown menus or pick lists.
Contract authoring:
Users can now modify a generated contract document during draft, negotiation and pre-execution stages from within Contract Center, with no dependency on external word processing tools. This in-app, rich text editing capability is seamlessly integrated with approval flows and versioning. Users have the flexibility to remove or update clauses inherited into a contract from a template or add new clauses from the clause library.
Clause and template versioning:
Users can now update an active clause or create a new version without disrupting existing contracts. With the simple click of a button, users can quickly create an amendment for any active contract and see the associated amendments. Users can also quickly access the latest updated versions of clauses when creating new templates and contracts.
Enhanced home-page experience for the contract author persona:
Contract authors can view their important, frequent and recent jobs in one place with valuable insights presented as a snapshot.
Rich text–enabled authoring:
All authoring interfaces such as clause creation and contract editing are now enhanced with rich text editing capabilities for a more user-friendly experience.

OpenText Contract Center is a complete, out-of-the box solution for efficiently managing contracts throughout their lifecycle. Unlike encryption at the device level, where sensitive information can still be viewed via server access, eDOCS Defense delivers document level encryption at rest. This ensures that not even system administrators can see the contents without authorization from the eDOCS user interface. Whether on-premises or in the cloud, data is protected at the document level.
Second, pre-empt an internal breach with monitored activity alerts:
With eDOCS Defense, organizations can send templated alerts to key personnel to be notified at any stage of a potential breach. No need to wait until the breach has occurred. Alerts are flexible and configurable and can be sent to designated individuals at various stages of a potential breach (e.g., 50 percent, 80 percent or 90 percent). These warnings can pre-empt a breach, limit damage and, with stored system logs, can help organizations easily meet required regulations. In the event of a breach, administrators can have the system automatically lock users out of the system to mitigate the potential damage.

Pick and Pack enables items to be ‘picked’ from master cartons and packed into smaller envelopes or boxes for dispatch. Driven by smaller order sizes involved in e-commerce makes the entire inventory requisition and management process much more complex. Freeway Cloud allows you to go beyond the currently supported standard case packing methodology to support effective fulfillment of increased mixtures of goods in a given shipment.
Drop shipping is a retail fulfillment method where a store doesn’t keep the products it sells in stock. Instead, when a store sells a product, it purchases the item from the supplier, which then ships it directly to the customer. In order to achieve quick and reliable fulfillment, Freeway Cloud enables the end-to-end process, including financial transactions and inventory reconciliation.
Cross-docking is the process where products from a supplier or manufacturing plant are distributed directly to a customer or retail chain with marginal to no storage time. Goods arriving at the distribution center pass through the facility and are immediately loaded for onward transportation. Freeway Cloud enables the effective exchange of documents to facilitate this activity.

OpenText™ Extended ECM for SAP® Solutions
All the Extended ECM products leverage the new capabilities within the xECM platform (for more information on the Extended ECM platform – see here) – Event Action Center and new Header view.
The Event action center provides a simple wizard-based interface for business users to trigger actions based on events. For example, as part of an Asset Maintenance process, a user uploads a new document to confirm completion of a repair job – this triggers a workflow to notify other business users that a task is complete.
Configuring an Action Plan in the Event Action Center
The Header widget view is a configurable view of a workspace to show key information at a glance, rather than having to have multiple widgets on the landing page – this aids the user visually to inspect a workspace and can include elements such as notifications, workspace description, latest documents attached, and more.

Vendor Invoice Management also supports the new Core Capture for SAP Solutions application for cloud-based OCR requirements.
The major new feature in Vendor Invoice Management for SAP Solutions addresses the problem of “Maverick” invoices that don’t have any matching purchase orders. A new SAP Fiori application allows users to manage this type of Invoices allowing invoices to be matched to the correct business object or adding the invoice to multiple cost objects (Cost Centers).

OpenText™ Digital Asset Management for SAP® Solutions
The ability to create digital content easily will transform the way we work with content in the future. Just as content volumes continue to grow, the types of content will change from traditional document-centric content to become more inclusive of rich media content.

OpenText™ Exstream™ for Salesforce
Many customers already enjoy the benefits of our Exstream for Salesforce app, generating many thousands of documents daily through our stand-alone SaaS solution. However, until now, customers of the OpenText Exstream platform couldn’t utilize the power of that platform in a Salesforce context. EP6 sees that change and customers can now use the Exstream for Salesforce® app (available on the AppExchange) to utilize and maximize existing Exstream components deployed locally.
What does this really mean?
Users of Sales and Service cloud, the industry-leading CRM platform from Salesforce can now configure their system to generate customer-facing documents on an ad-hoc basis, without leaving the Salesforce interface. A simple click of a button within an object can merge CRM object data into an Exstream Template, and using Communication Server the generated content (PDF, Email, etc) can be stored back into the Salesforce object.
Very simple, but why buy into niche app solutions when you already run the industry’s best creation tool? Why create two templates when you could share one?

When using OpenText™ Media Management (OTMM) as a corporate Digital Asset Management (DAM) tool our customers are already confident that their assets are governed, approved and rendered to their exact needs. Once the platforms are connected, all users of Marketing Cloud can browse to OTMM to select or search for the approved asset for use in their campaign. Using references we can monitor for when the asset gets updated centrally and update the outgoing campaign automatically. With the EP6 release, Documentum D2 gets a new, modern user experience for most scenarios. Although the Smart View user experience was introduced in EP5, OpenText has extended the use cases supported by Smart View, expanding the opportunity for customers to deploy new or existing D2-based solutions using Smart View. By supporting content creation and submission, Documentum D2 Smart View will now support a wide range of customer solutions.

Documentum D2 users continue to enjoy the simple configuration and fast deployment while gaining the benefits of the modern, highly configurable Smart View experience.
In addition, just as you can switch between different work spaces or solutions in Documentum D2, Documentum D2 EP6 makes it just as simple to switch between “classic” D2 UI-based and Smart View-based solutions. In addition, the Smart View user experience enables content contribution and search features that support the ability to create new documents from approved templates or contributing content in a structured manner.
Content Connect
Content Connect in Microsoft Office 365
OpenText Content Connect enables users of Microsoft Office 365 – both online and on the desktop – to quickly access and edit Documentum-based Office documents without leaving the familiar Office environment. With Content Connect EP6, OpenText has added support for Documentum D2 configurations, making Content Connect its perfect companion. Office users, working in a D2-based solution, can now work with Office documents without having to switch between the Office application and Documentum D2.
Content Connect EP6 enables users to work within both Microsoft Outlook and Microsoft Word, both online and desktop applications. Within the Microsoft Office 365 applications, users may search, edit, and save new documents into Documentum. Content Connect also surfaces many advanced search capabilities, including type-ahead suggestions, as well as results that include synonyms, homonyms, and key words.

Customers derive value from Documentum xCP in a number of ways: by creating advanced case management solutions that integrate people, business processes, and information; by leveraging composition capabilities that enable the rapid design of solutions that combine several different data sources; and by automating processes to improve user productivity and reduce cycle times for critical business processes.

Key to driving improvements in productivity is the ability to access real-time visual charts and dashboard to detect patterns in information, search within your solution, and gain new business insights. Documentum xCP EP6 builds on the built-in reporting available within Documentum xCP by adding support for both OpenText Magellan BI & Reporting and Documentum Reports. With these new integrations, Documentum xCP users and administrators can gain new insights, including live dashboard views based on roles and embedded charts and graphs that are updated in real-time.
Documentum and cloud deployment
Since being acquired by OpenText, Documentum has been making steady improvements to support customers that are migrating Documentum implementations to the cloud, and OpenText continues to deliver these improvements to the Documentum Server. The Documentum Server now comes with new Docker containers and Kubernetes orchestration that dramatically simplifies and automates your deployment to cloud infrastructures, ensuring that you are able to deliver rapid, consistent cloud deployments.
