Is your document management solution scalable to your firm’s future growth?
When Evans & Dixon decided to implement a document management system in their Midwest U.S. law firm, almost a decade ago, they knew they were in dire need of a software solution to bring them into this millennium. What Jeff Sheldon, CIO, also knew was that the solution had to adapt to their future growth expectations – not just in moving from three to six locations and the associated users that come along with that, but in the sheer increase in document volume.
The firm was looking for flexibility, to handle their increase in users and documents. They were looking for increased productivity, in being able to search and obtain relevant documents electronically – anytime, anywhere. They were looking for a system that could protect the integrity of their documents, in a secure environment. And, they were looking for a solution that could integrate easily with their other systems.
And, in working with ADV, an OpenText™ partner based in Minneapolis, to deploy OpenText Document Management, eDOCS Edition (eDOCS DM), the firm was able to achieve those goals and integrate with other modules in the eDOCS solution. For example, by integrating OpenText Wireless DMS for eDOCS, users can access files in their eDOCS library at any time from mobile devices, while OpenText Guardian for eDOCS was added to protect the firms ‘crown jewels’ from internal security breaches. As Sheldon puts it, “It’s easy to manipulate and integrate with our other legal systems… with eDOCS, it’s just a world of difference.”
“Attorneys used to take home big suitcases on wheels. Now, it’s all in the palm of their hands, on their phones or tablets. It just makes it easier.”
Jeff Sheldon, CIO, Evans & Dixon LLC
Now, with a repository of more than 2.5 million documents and boasting upwards of 185 users from attorneys to paralegals and support staff, the firm is on a path to continue growing as does their relationship with OpenText. As an OpenText Elite™ member, Evans & Dixon are helping to shape the evolution of eDOCS by participating in OpenText events and Product Advisory Councils. Their video success story, shot on-site at the annual OpenText user conference Enterprise World, tells how implementing eDOCS has given them instant access to documents with visibility to the entire lifecycle of the work product, all within a secure environment.
In looking forward, Evans & Dixon will upgrade their functionality to include: InfoCenter, Sync and save, OpenText Core, and OpenText Email Filing, eDOCS Edition. But, beyond the features and functionality, the value is in the relationship that has been built over time. “You’ve got the best of both worlds,” Sheldon says. “You’ve got a big company that’s doing a lot of research and development, a lot of investment, but you’re not so siloed that you can’t talk to the higher ups. OpenText puts the customer first, which is the way it’s supposed to be.”
