GDPR. An Opportunity More Than a Threat for B2B Companies?

The EU’s General Data Protection Regulation (GDPR) is definitely a game changer – but perhaps not in the way you think. A great deal has already been written about the stringent obligations – and hefty fines – it places on organizations managing the personal data of EU citizens. Much less has been made of its other stated aim: To facilitate the exchange of information for businesses that operate in the EU. But the GDPR is not limited to only EU companies, so… how best to capture the opportunity within GDPR implementation? An opportunity? Really?!! It’s easy to focus on the amount of change – at an organizational, technical and process level – that every company will need to undertake to get ready for the May 2018 deadline. But, that is to overlook the bigger picture. GDPR is explicitly designed to harmonize data security and privacy laws across Europe. This is, by far, the most far-reaching legislation of its type ever attempted. It represents a single data protection approach for 28 trading countries and, indeed, beyond. As all companies that hold personal data on EU citizens must comply – and let’s face it, today that’s pretty much everyone – the success of GDPR is very likely to make it a global standard by default. To date, organizations have not addressed their data protection and privacy risks in a consistent way. GDPR now makes this essential. The opportunity arises when you see this as more than simply a compliance issue. As PA Consulting suggests, companies “can take a more business- and customer-centric approach that will allow them to explore how they can manage personal data to help make more informed decisions and create a better experience for their customers”. Understanding GDPR There are really two core elements to the obligations of B2B companies under the GDPR. The first is to store and manage personal data in a way that it’s always quickly accessible for the data subject and is removable if required. For B2B organizations, you must remember that, for the GDPR, personal data means data about individuals, including your customers, suppliers and service providers. It also covers how and why you exchange personal data within your supply chain or trading partner network. Secondly, personal data must be defended and secure at all times – in transit or while at rest.  The International Association of Privacy Professionals recommends some of the security actions to undertake include: The pseudonymization and encryption of personal data The ability to ensure the on-going confidentiality, integrity, availability and resilience of processing systems and services The ability to restore the availability and access to personal data in a timely manner in the event of a physical or technical incident A process for regularly testing, assessing and evaluating the effectiveness of technical and organizational measures for ensuring the security of the processing A focus on technical infrastructure It’s clear that the correct technical infrastructure has a key role to play when implementing the GDPR. Organizations will really struggle if they continue to hold silos of information. Instead, they must have a clear end-to-end view of all the personal data they hold. This is both structured and unstructured data – everything from emails and social media behaviors to contracts or service documentation. This does require a significant change in thinking. Organizations will need to introduce Privacy-by-Design and Data Protection-by-Design as core foundations of their infrastructure. These strategies have been at the heart of solution development at OpenText for years. Excellence in Sales Order Entry – From Document to Digital

Sales orders, the documents with the odor of company success attached to them! Physical (or electronic) proof that your company sells products that your customers like. Proof that you make money and create and retain jobs. So what could there be that is not to like about sales orders? Well, the question here is: Are your sales orders solely creating value and financial success for your company? Or are they also costing you money? Are they slowing down your business? Maybe even creating conflicts with your customers? Fully digital sales order process – why? In a digital world, you should consider automating your sales order entry process from beginning to end. The digital sales order process should start the minute a sales order enters your company, from document to digital. This should be independent from your input channel – whether your sales orders reach you via EDI, email, fax or paper document, make sure to digitize your sales orders when they first touch your company. Many of our customers have EDI in place for 60 – 80% of their sales orders. However, the remaining 20-40% slows down their business, preventing them from having full insight and transparency of the status of ALL sales orders. The impact When our customers started to capture the data also from PDFs, emails and paper documents, they realized how valuable a fully automated a digital process is. With their model from document to digital they turned the sales order process into a fast, customer-friendly and fully transparent process. They now have full insight into the status of any sales order. If a customer has a request referring to a sales order, they can answer it within seconds, independent from its input channel or process status. Reporting and transparency have exponentially improved. Management is now able to track the performance of the sales order process across countries, from month to month or year over year. Now, even the performance tracking task is a simple activity, too. It is fast and it is accurate. Not only for the electronic input channel, but for all sales orders. The information extracted is also proof that with the new integrated sales order automation, customers have been able to cut sales order cycle time in half by also automating the remaining 20-40% of sales orders. Customer relationships have also improved because disputes over orders and invoices or wrong deliveries have reached an all-time low. The analysis of sales orders allows making purchasing recommendations to customers from evaluating other customer orders – those who regularly order specific products in combination with other products. These cross-sell opportunities are well-received by customers as they create value and often help to meet their core business needs. Think Outside…for Complete Supply Chain Automation

If you are tasked with helping to automate your supply chain, you know there is a lot of work to do internally. But many organizations forget to look outside to achieve complete supply chain automation. You can find evidence of this need in recent news about how retailers are shrinking deliver windows and increasing compliance requirements. This has also been true in the automotive industry where, because of just-in-time manufacturing, auto OEMs may penalize suppliers whose missed deliveries cause them to shut down an assembly line – to the tune of thousands of dollars PER MINUTE that the line is idle. Regardless of whether you are a supplier or a buyer, it is becoming critical that you think outside of your organization for complete supply chain automation. So how do you do that? Lora Cecere on her blog said, “However, automation enables enterprise efficiency, not value network effectiveness. Most companies cannot see beyond their firewalls. I feel it is time to rewire our supply chain thinking. This does not happen through conventional thinking. Instead, it happens through the adoption of new technologies and outside-in thinking.” This outside-in thinking and network effectiveness comes from automating the flow of transaction information with trading partners. Yet, recent research from IDC shows that although 70% of respondents believe that business success requires pervasive B2B networks that allow them to collaborate with suppliers and customers – less than 50% exchange the majority of information with most of their trading partners in electronic formats. By including supplier/buyer interactions in supply chain automation, organizations can automate a critical portion of their supply chain. The benefits of doing so include, reducing manual data entry and data entry errors, reducing transaction costs, and reducing receiving time and error. 5 Stages of B2B Integration Maturity – Pt 1

OpenText recently sponsored a survey on B2B integration maturity which was conducted by SCM World. We were interested in learning about what constituted B2B integration maturity and what impact that might have on a business. The research paper, available here, lays out a path to maturity based on answers to the survey from 115 participants from all over the globe. A section of the paper that describes the five stages or steps is provided here. What is the B2B integration maturity path? Based on the results of this research, the B2B integration path framework was developed to trace progressive advancement of B2B integration maturity in organizations across key industries. The B2B integration path framework represents a five step journey for advancing B2B integration maturity by using SCM World study data to identify improvements that must be made to increase maturity in the elements of structure and people (people), tools and technology (technology), and process (process). In addition to enabling you to determine your organization’s current level of B2B integration maturity, the framework also allows you to compare your organization’s level of B2B integration maturity versus that of your peers, across industries and against the broader business community. Routes to maturity on the B2B integration path are varied. Removing Digital Barriers for the Visually Impaired

Have you ever been in the midst of a storm and the power went out? Suddenly, all the lights in your home are useless and everything is just pitch black. Most people would simply search for a flashlight or a candle to light. However, what if none of this was an option anymore? How would you react if from one day to the next you were blind? I began to ponder this question myself. How would this affect my family relationships? My ability to work? Transportation? Even getting dressed? It may be difficult for many sighted individuals to do this for longer than a few seconds because we take for granted that we can see. Now, let’s take it a step further. Imagine that you close your eyes and when you open them again, there is nothing but darkness. You could no longer distinguish color or any object, not even the semblance of light reflecting back through your pupil to your retina, which once gave you sight. The reality is—whether we realize it or not—we are all just an accident away from some sort of disability. I recently visited the California State University, Northridge (CSUN) for the International Technology and Persons with Disabilities Conference in San Diego. It’s the world’s largest annual showcase of assistive technologies for people with disabilities, and I was greatly impressed with all the amazing people I met who work in and around Accessibility. Lainey Feingold, the preeminent litigator for accessibility advocacy, had some enticing thoughts about vision impairment in the digital age: “If only people applied the same creativity to removing barriers as they do to finding excuses not to,” Feingold said. The overall theme of the show was how technology can help disabled people to fully participate as workers and citizens.  And it got me to thinking, as we move more and more to a self-service, digital world accessed via screens, how much emphasis that puts on sight. Vision in a Digital World So much of our experience today is purely visual. Most of us spend hours behind a screen of some kind, whether it’s at your workstation answering email, or surfing the net on your iPad finding the latest trends on social media. At the risk of cliché, allow me to repeat, “We live in the digital age.” Setting aside all the other major life changes and transitions for the sake of this post, let’s consider just for the moment how you would interact with technology. Wouldn’t you want to do many of the same things that sighted individuals can do? For one, how would you handle something simple like paying bills? How about filing taxes? I’ve grown accustomed to paying all of my bills online through my bank’s web portal, and handling my taxes myself through a SaaS application. Paper bills would no longer be an option unless I want somebody else to read them to me. How would I e-file my taxes and go through the interview mode? Thankfully, there are some great innovators in the assistive technology world that have given us tools that can operate computers and access digital information. Screen readers like JAWS or NVDA, for example, audibly announce data and commands otherwise visually displayed, which allows the visually impaired to access and navigate digital data. Unfortunately, larger organizations don’t have a cost-effective, timely way to generate content that these screen readers can “read.” So, people are forced to wait for extended periods of time and disclose their disability every time they want to access their information. The greatest challenge today facing those who are visually impaired is to get major corporations and government agencies to understand the significance of web accessibility, not just because of compliance with legislation like the ADA and Section 508 or the risk of litigation (both major considerations). We all must come to the realization that there are real people that deserve equal access to information in the same time-frame as sighted individuals because it’s the right thing to do. With the rise of the digital age, it has never been more critical for organizations to put themselves in the shoes of their users and clients who have a disability like blindness, low vision, dyslexia, or cognitive disorder, and make the right choice towards an inclusionary environment where no self-identification is required. There’s a quote I like: “We do not see things as they are, we see things as we are.” I think it’s time to stop seeing web accessibility as sighted individuals and start searching for a new pair of glasses that will give the unsighted a new way to see. I can honestly say that after attending C-Sun I won’t ever be the same. The technology we provide to people today has the ability to not only change the way companies do business, but also how their visually impaired clients interact with them. Improving Vendor Compliance Through Deduction Management

For retailers, vendor compliance programs are designed to help streamline and standardize the management of expense offset with vendors and/or suppliers. If you are a retailer buying from hundreds (maybe thousands) of vendors, having the ability to ensure shipment and supply chain consistency can save you significant operational costs. But this can create challenges for vendors, who may sell to hundreds of retailers, and need to follow the guidelines for each retailer and/or customer. In order to help with the complexity for both the retailer and the vendor, retailers publish vendor compliance manuals with standards and expectations for doing business with them. (Note –  if you do a web search for “vendor compliance manual” you can see examples of these by various retailers). But, as a retailer, simply publishing standards often isn’t enough for vendors to comply with, unless there is also some form of incentive as well. The incentive typically takes the form of penalties for non-compliance, also known as “chargebacks” or “deductions”. The process for capturing non-compliance, applying penalties, allowing the vendor to challenge specific deductions and then billing or reducing payments can be complex and time-consuming. If the process takes too long, a vendor may send multiple non-compliant shipments before they can be advised of any wrong-doing. Since the real goal of chargebacks is not to generate revenue, but to reduce non-compliance, timely notification and clear communication is essential to a successful program. So how can a retailer automate this process? The simplest answer is through a deduction management solution. Enabling the Digital Supply Network at OpenText’s UK Innovation Tour

Since joining OpenText in January 2014, through the acquisition of GXS, I have presented many sessions on our Innovation Tour stops and at our major annual conference, Enterprise World. No sooner did Enterprise World finish last November, we have been busy planning for our 2016 Innovation Tour. We have five Innovation Tour stops this year, starting in Sydney, then moving onto Tokyo, Germany, Paris and finally the UK. We also have a number of shorter events in other locations such as Singapore. The aim of these events is to educate, inspire and ultimately demonstrate how our portfolio of Enterprise Information Management solutions can enable a better way to work in the digital world. Our event in London this year is being hosted on the 10th March at the etc Venues Conference Centre, St Paul’s, Aldgate and it will offer a comprehensive agenda with keynote and customer sessions in the morning and over twenty breakout sessions (split into five key themes) in the afternoon. We will also have an expo area where all the solutions being discussed in the breakout sessions will be brought to life across a series of demo pods. Like so many words in the English language, the word visibility can mean different things depending on the context. The Oxford Dictionary defines visibility as the “state of being able to see or be seen.” For example, when we see a weather report, visibility is the distance at which objects can clearly be seen. But what does it mean when discussing the supply chain? In the supply chain context, we can “see” visibility in a couple of ways to support the goal of driving a more efficient supply chain. Supply chain visibility is the ability to see what is happening now—to know the status of each and every order, shipment and invoice—especially when the status is ‘red’ and needs risk mitigation, or if there is an untapped opportunity to pursue. This visibility allows an enterprise to make quick adjustments to keep their supply chain moving. For instance, a manufacturer in Detroit, Michigan can send a purchase order to its supplier in Japan, receive an electronic document that the item is out-of-stock, and immediately react by sending the purchase order to an alternative supplier in Brazil – all in just minutes. Armed with this information, businesses can effectively manage bottlenecks, plan for delays, and proactively manage customer expectations. In short, they can resolve issues before they have a negative impact on business performance. Without this visibility, it could take days to realize your stock of an item is about to be depleted with no replacement on order – resulting in lost sales because of disrupted production schedules or failure to meet customer demand. This scenario assumes digital exchange of information to speed transaction flow and enable automation. That is what OpenText does. New Resolution for Retailers in 2016: Take Charge of Your Chargebacks

How many errors and chargebacks are going through your distribution centers or system unchecked during this holiday season? There’s a significant chance it’s more than you expect. Consider the cost incurred when shipments arrive on incorrectly stacked palets, ASNs arrive invalid or late, and cartons have unscannable barcodes. All of this can be costing you millions. Based on our insight into the retail industry and speaking with our customers, on average 2% of your retail sales revenue is offset by chargebacks. Say, for example, your annual sales revenue is $5 billion and 50% of that revenue is earned during the holidays. That means you are experiencing $50 million in errors and chargebacks every year. What’s your estimated total? If you don’t have a complete deduction management process then it’s likely to be much higher than your actual amounts. Some retailers have in-house or legacy processes to identify and assess their chargebacks while others don’t have an established process at all. In both cases, it’s extremely likely that errors are slipping through your distribution centers or systems. Not only are the errors unaccounted for but there are missed opportunities to notify vendors and avoid similar errors for future shipments. In fact, many organizations are embracing it as a new way of working and the increasing number of Chief Digital Officers are making it their business to lead their enterprises safely along uncharted paths. Manufacturing Today’s manufacturing industry continues to globalise operations, reduce costs and embrace complex regional compliance regulations. Combined with embracing disruptive digital technologies such as 3D printing, wearable devices and the Internet of Things, today’s manufacturing CIOs have to overcome an immense digital challenge. CIOs may feel as though they are gambling away their IT budgets on digital projects that provide minimal returns. Financial Services Financial Services is still an industry in flux, routinely testing new business models. A recent Industry Insight blog wrote about a newly licensed bank in the UK, called Atom Bank. They have some capital, and their other asset is an application. That is all. This is amazing when you think about it. It could have happened without smartphones, but they really changed this game. The smartphones of today outperform the fastest and biggest computer of 1985. Essentially they are a small and handy way to deliver chips to you, and you can make a phone call too! And they are easy to carry and fit in your pocket. Of course, it is all in the chips which provide the digital technology. Now Volvo has stated that in the near future if you buy one of their cars, they will provide the insurance. Commercial Banking North American Corporate Banking and Corporate Treasury organizations are facing digital disruption in many flavors, from different directions and in different timeframes. In the short term, a myriad of disruptive regulations, technologies and new players are bombarding banks and their corporate treasury clients, requiring massive, parallel changes to their payment systems. Figuring out a strategy for future proofing a payments environment is critical and partnerships with a provider that’s “been there, done that” in Europe and elsewhere is an important step. Longer term, digital disruption represents both an opportunity and a threat to the corporate banking business. Will the combination of open APIs for financial transactions, distributed ledgers (a la blockchain) and the Internet of Things make banks irrelevant to their corporate clients’ day to day business? Or will the traditional role as a trusted intermediary allow banks to take an even more prominent role in B2B digital commerce as the provider of the equivalent of safe deposit boxes for high assurance digital identity management? Or both? Public Sector When we talk about digital disruption, our examples typically come from business—Uber, for instance, where technology inspired the execution from the beginning.
